Xero Smart Document Capture (JAX) 2026: What It Does, Which Plan You Need, and Whether It Replaces Dext

Xero launched Smart Document Capture on 2 July 2026 and has been updating it fast. By September, it had added tax rate extraction, credit note support, and auto-matching. Now it sits in every Xero plan — from Ignite at £18/month up to Ultimate at £70/month — with no extra fee. UK bookkeepers and practices are asking one question: is this finally good enough to drop Dext?

The short answer is: for a simple sole trader already on Xero, probably yes. For a practice managing 10 or more clients, or for anyone who needs bank statement extraction right now, no. The detail matters, and this guide covers all of it — what JAX does today, what it can't do yet, which Xero plan you need, and exactly when Dext still earns its place in the stack.

What Is Xero Smart Document Capture?

Smart Document Capture is Xero's built-in document reader, powered by JAX — Xero's own AI model. Before it launched, uploading a receipt to Xero could take up to 24 hours to process. JAX brings that down to approximately 30 seconds.

You access it under Accounting → Documents inside Xero. Clients can submit documents via the Xero Accounting mobile app, by forwarding an email, or by uploading a file directly. JAX reads the document, extracts the data, and has a draft transaction ready for you to review.

Since its July 2026 launch, Xero has shipped two significant updates:

  • 2 July 2026: Smart Document Capture launched, with JAX reading bills, receipts, and invoices. The main improvement over Hubdoc — Xero's older capture tool — was speed and the scope of AI extraction.
  • 18 September 2026: Xero renamed Files to Documents and moved it into the main Accounting menu. Tax rate extraction was added, along with credit note support, an auto-matching toggle (to match documents against existing transactions), and upload permissions controls.

Xerocon London in July was where Xero previewed what comes next for JAX — including document chasing (JAX proactively identifying missing receipts) through Xero Partner Hub. That feature is expected in late October 2026. Our Xerocon London 2026 roundup covered the full JAX announcement and what else Xero is building with its AI model.

One note for Ignite users: auto-reconcile (JAX automatically matching bank feed transactions) is not included in the base Ignite plan — it's an optional £3.50/month add-on. Smart Document Capture itself is free on all plans. If you're deciding between Ignite and Grow, our Xero Ignite vs Grow breakdown covers the full feature difference in plain terms.

What Does JAX Actually Extract?

As of October 2026, Xero's Smart Document Capture handles the following:

  • Supplier name, date, amounts: The basics, available since launch.
  • Line item extraction: Multi-line, itemised data from complex documents like rental statements and itemised supplier invoices.
  • Local tax rate: Added 18 September 2026. JAX reads the VAT rate from the document and applies it, reducing manual entry for standard-rated purchases.
  • Credit notes: Handled alongside bills and receipts since September.
  • Auto-matching: JAX checks whether an uploaded document matches an existing transaction and can combine them, with a toggle to switch auto-matching on or off depending on your workflow preference.
  • Duplicate detection: Flags when a document appears to match something already in the system.
  • Learns from corrections: Xero says JAX improves over time as you review and correct its suggestions.

What it does not yet handle: bank statement extraction (roadmap, no date), supplier rules (promised in the coming months), and a custom email address for document submission (roadmap). It also only works inside a single Xero organisation at a time — there is no multi-client practice view.

JAX Roadmap: What's Promised Next

Xero has been unusually transparent about what's coming. Based on its public product updates and Xerocon announcements, here is the confirmed roadmap as of October 2026:

  • Document chasing (October 2026): JAX automatically identifies transactions missing a receipt and follows up, accessible through Xero Partner Hub. This would remove one of the more tedious month-end tasks from practice workflows.
  • Supplier rules (coming months, no exact date): Like Dext's supplier rules, this would let JAX learn that a receipt from a specific supplier always goes to the same account code — removing the need to recode repeatedly.
  • Custom email address: A dedicated inbox email per Xero organisation for document forwarding. Promised, no date.
  • Tax number validation (UK and Australia): Validates VAT numbers on submitted documents.
  • Bank statement extraction: Longer-term roadmap item. Until this lands, PDF bank statement processing remains a gap versus Dext.
  • Bills in awaiting approval/payment states: Roadmap, no date.
  • Item codes for inventory: Also on the longer-term roadmap.

JAX vs Dext: Where Each Tool Wins

This is the question practices are actually asking. The honest answer depends entirely on your client mix and how you work.

The gap that matters most in practice is bank statements. Clients who don't use open banking — or who have gaps in their bank feed — send PDF statements. JAX cannot process those yet. Dext can, and that's a significant workflow difference for many UK practices still onboarding older clients to digital submission.

The multi-client view is the other gap worth naming. JAX works fine when you open each client's Xero one at a time. If your practice has 20 clients, you're navigating 20 separate Xero organisations to check their document queues. Dext's practice view puts all client activity in one screen. That's not a small quality-of-life improvement — for any firm with multiple people working across multiple client files, it changes how efficiently the work gets done.

Our Dext vs Xero comparison goes deeper on when the two tools genuinely overlap and when they don't — including the cost arithmetic at different client volumes. The short version: they are not direct substitutes, and for most practices above 10 clients, running both still makes sense.

When JAX Is Enough (And When It Isn't)

JAX is genuinely sufficient for a UK sole trader or very small business already on Xero who uses a live bank feed, submits under 50 documents per month, doesn't need bank statement processing, and only uses Xero as their ledger. In that scenario, adding Dext on top is hard to justify — JAX does the core job, it's already paid for, and the extraction quality has improved substantially since July.

JAX is not yet sufficient for practices. The absence of a cross-client view is a workflow problem, not a feature gap — it's just a different product. Xero's Smart Document Capture is designed to work inside one organisation at a time, which is appropriate for a sole trader or small business. Dext is designed to work across an entire practice's client base from a single login. Those are different use cases.

The Right Pick For...

  • A sole trader or landlord on Xero: JAX is included, capable, and free. Use it. You do not need to add Dext unless you have complex bank statement requirements or multiple income sources requiring separate tracking across ledgers.
  • A small bookkeeper with 5–10 Xero-only clients, all with live bank feeds: JAX may be enough for the capture layer. Test it for 30 days against your real client documents before deciding to add Dext.
  • A practice managing 10+ clients, or clients on multiple ledgers: Dext. The multi-client view, supplier rules, bank statement extraction, and cross-ledger integrations still justify the cost. Start with Dext Essentials on a 14-day trial — approximately £165/month for 10 clients on an annual contract.
  • Anyone with PDF bank statement clients: Dext, until JAX's bank statement extraction lands. There is no workaround for this gap in JAX's current feature set.
  • Clients with MTD IT obligations (sole traders and landlords): Dext Solo at £2.50/client/month is HMRC-recognised and handles quarterly submissions directly. Xero's MTD IT feature works too, but Dext Solo is purpose-built for the task if you're managing this across a client portfolio.
  • Practices already considering leaving Dext to cut costs: Run the maths first. Our receipt capture software comparison includes Receipt Bot as a credible mid-tier alternative if Dext's pricing feels heavy for your current client volume.

Frequently Asked Questions

Is Smart Document Capture the same as Hubdoc?

No. Hubdoc is a separate product Xero acquired in 2018. It runs alongside Xero and handles document fetching from supplier portals (for example, automatically downloading utility bills). Smart Document Capture is JAX reading documents you upload or forward into Xero itself. Both are included with Xero plans, but they work differently and serve different parts of the workflow.

Does JAX work on the Ignite plan?

Yes. Smart Document Capture is included on Ignite (£18/month). The one caveat is that auto-reconcile — JAX automatically matching bank feed transactions — is not included in Ignite. It requires a £3.50/month add-on, or you step up to Grow (£39/month), which includes it.

Can JAX replace Dext for a sole trader?

For a straightforward sole trader already on Xero with a live bank feed, yes in most cases. JAX now handles line items, tax rates, and credit notes. It doesn't yet handle bank statement extraction or supplier rules, so sole traders with complex bank statement needs or high document volumes should still evaluate Dext.

What happens to Hubdoc now that JAX is here?

Xero hasn't announced any changes to Hubdoc's availability. Both currently exist side by side in Xero plans. The longer-term roadmap suggests JAX's document processing will absorb more of Hubdoc's functions, but as of October 2026 Hubdoc remains a separate tool within the Xero ecosystem.

Does JAX support non-English documents?

Xero hasn't published a supported-languages list. If you have clients submitting invoices in languages other than English, test the specific document types in your Xero trial before committing to JAX as your primary capture layer.
